We are hiring for a full-time Staff Accountant based in Lincolnwood, Illinois.

This role is in office Monday – Friday, 7:00 AM – 4:00 PM.

ABOUT THE ROLE

The Staff Accountant supports the day-to-day financial operations of the company, with responsibilities that include client and vendor setup, data entry, and ongoing system maintenance. This role ensures the accuracy of financial data and contributes to purchasing, compliance, and documentation workflows. The Staff Accountant is essential in maintaining strong internal controls and ensuring the smooth execution of accounting processes across the organization.

Salary Range: 65-70K

KEY RESPONSIBILITIES

Client & Project Accounting

  • Enter new clients and jobs into QuickBooks; complete new client onboarding packages.
  • Set up and maintain Sales Orders (SOs) in alignment with contracts and change orders.
  • Manage job-related billing structure in QuickBooks to match project scope.
  • Upload job data weekly into Paycom for payroll alignment

Purchasing & Expense Tracking

  • Upload and code credit card transactions to associated POs and expense reports.
  • Follow up with employees to clarify unclear transactions or missing receipts.
  • File paper receipts and purchasing documentation.
  • Backup support for vendor payments

Vendor & Compliance Management

  • Set up new vendors and collect onboarding documentation (W-9s, COIs, ACH forms).
  • Track vendor insurance requirements and follow up on missing certificates.
  • Support year-end 1099 preparation and submission.
  • File Illinois sales tax returns (IL ST-1) monthly.
  • Track taxable vs. non-taxable transactions and maintain related documentation.

General Ledger & Reconciliations

  • Support Senior Accountant in completing monthly reconciliations.
  • Assist with matching transactions, resolving discrepancies, and supporting month-end processes.

Administrative & Ad Hoc Support

  • Provide general support to the Finance Director and project teams.
  • Assist with audit requests and document gathering for internal or external inquiries.

We’re especially interested in someone who:

  • Brings at least 1–3 years of accounting, bookkeeping, or related experience
  • Experience with project based work a plus
  • Is familiar with tools like QuickBooks and Excel
  • Communicates clearly and follows through on tasks
  • Takes ownership of their work, but isn’t afraid to ask for help
  • Wants to grow in an environment where finance, creativity, and operations intersect
